This Privacy Notice for AskYura LLC ("we," "us," or "our") describes how and why we may access, collect, store, use, and share ("process") your personal information when you use our services ("Services"), including when you visit our website at askyura.com or any website of ours that links to this Privacy Notice, use AskYura, an AI-powered customer support platform that helps businesses automate customer conversations and manage customer support through AI chatbots and live chat, or engage with us in other related ways, including any marketing or events.

1. What information do we collect?
Information you give us
We collect personal information that you voluntarily provide when you register on the Services, express an interest in our products and Services, participate in activities on the Services, or contact us. This may include your name, phone number, email address, password, and business or company details.
Customer conversations and content
When you use AskYura to support your own customers, we process the content you and your customers put into the Services. This includes the knowledge base material, documents, and instructions you upload to train your assistant; the messages exchanged between your customers and your assistant, including any live chat handled by your team; and the records created by actions your assistant takes on your behalf.
For this content, you are responsible for deciding what is collected and why, and we process it on your instructions in order to provide the Services to you. If you need a data processing agreement, contact us at hello@askyura.com.
Sensitive information
We do not ask for or intentionally collect sensitive personal information. Because your customers can type anything into a chat, sensitive information may be submitted to the Services without our knowledge. We ask that you configure your assistant not to request sensitive information, and that you do not upload it to your knowledge base.
Payment data
We collect the data necessary to process your payment if you make a purchase. All payment data is handled and stored by Stripe. You can review their privacy notice at https://stripe.com/privacy.
Information collected automatically
Some information is collected automatically when you visit or use the Services. This does not usually reveal your identity directly, but may include your IP address, browser and device characteristics, operating system, language preferences, referring URLs, country, and information about how and when you use the Services. We use it to maintain the security and operation of the Services and for internal analytics and reporting.
This includes log and usage data recorded in our server log files, device data about the computer, phone, or tablet you use, and approximate location derived from your IP address. We also collect information through cookies and similar technologies, and through session recording on our marketing website, described in section 4 below.
Information from third parties
We may receive information about you from third parties. This includes profile information from a social media provider if you choose to register using a social login, and data from any platform you connect to the Services, such as an e-commerce store, which may include order, product, and customer records needed for your assistant to answer questions and take actions.
2. How do we process your information?
We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We process your information only when we have a valid reason to do so. Specifically, we process it to facilitate account creation and authentication and manage user accounts; to deliver and operate the Services, including generating assistant responses and carrying out actions you have configured; to respond to your enquiries and offer support; to send administrative information such as changes to our terms and policies; to process your payments and manage your subscription; and to monitor security, prevent abuse, and diagnose faults.
3. When and with whom do we share your personal information?
We share information with service providers who process it on our behalf under written contract, and only as needed to run the Services. These fall into the following categories: cloud hosting and data storage providers; Cloudflare, which provides network security and bot protection for our website; AI model providers, which process conversation content in order to generate assistant responses; Stripe, which processes payments and billing data; and analytics providers, namely Google Analytics and PostHog, which process website usage data.
We work with more than one AI model provider and change providers as the technology develops, so we do not name a specific provider here. Every provider we use is bound by a contract that allows them to process conversation content only in order to return a response.
We may also share information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or part of our business, and where we are required to do so by law or to protect our legal rights.
We do not sell your personal information, and we do not share it for cross-context behavioural advertising.
4. Do we use cookies and other tracking technologies?
We use cookies and similar tracking technologies to gather information when you interact with our Services. Some are strictly necessary: they keep the Services secure, protect our forms from automated abuse, prevent crashes, fix bugs, save your preferences, and support basic site functions. Others are used for analytics, so we can understand how the site is used and improve it. We do not use cookies or similar technologies for advertising, and we do not run advertising pixels on our website.
Google Analytics. We use Google Analytics to measure and analyse use of our website. You can opt out using the Google Analytics opt-out browser add-on at https://tools.google.com/dlpage/gaoptout, and you can read about Google's privacy practices at https://policies.google.com/privacy.
PostHog. We use PostHog for product analytics on our marketing website. PostHog also records browsing sessions, which captures page views, clicks, scrolling, and mouse movement so we can see where visitors get stuck. These recordings are used only to diagnose usability problems and improve the site.
Most browsers accept cookies by default. You can set your browser to remove or reject cookies, although this may affect some features of the Services. More detail is set out in our Cookie Policy.
5. Do we offer artificial intelligence-based products?
Yes. Our Services include products and features powered by artificial intelligence and related technologies ("AI Products"), including AI assistants that answer your customers, AI-generated replies and suggestions, and actions your assistant carries out on your behalf. The terms of this Privacy Notice govern your use of the AI Products.
To generate a response, the content of a conversation, together with the relevant parts of your knowledge base, is sent to a third-party AI model provider. That provider processes the content in order to return a response, under a contract with us.
Conversation content is not used to train any AI model, whether ours or a provider's. It is processed only to generate a response to the conversation it came from.
6. How do we handle your social logins?
Our Services may offer you the ability to register and log in using a third-party social media account. Where you choose to do this, we will receive certain profile information about you from that provider, which often includes your name, email address, and profile picture. We use the information we receive only for the purposes described in this Privacy Notice. We do not control, and are not responsible for, other uses of your personal information by your social media provider.
7. How long do we keep your information?
We keep your personal information for as long as we need it to provide the Services to you, and for as long as required or permitted by law, for example for tax and accounting purposes. Account information is kept for as long as you have an account with us.
Conversation transcripts and knowledge base content stay in active storage for six months. After six months they are moved to cold storage, where they are no longer used to operate the Services.
We do not currently operate a fixed schedule for automatically deleting this data. You can ask us to delete your personal information at any time by emailing hello@askyura.com, and we will do so unless we are required to keep it, for example to comply with a legal, tax, or accounting obligation, or to resolve a dispute. Where information is held in backup archives and cannot be removed immediately, we will store it securely and isolate it from further processing until deletion is possible. We are developing a formal retention schedule and will set out the specific periods in this notice once it is in place.
8. How do we keep your information safe?
We have implemented appropriate technical and organisational security measures designed to protect the personal information we process. However, no electronic transmission over the internet and no storage technology can be guaranteed to be completely secure, so we cannot promise that unauthorised third parties will never defeat our security. Transmission of personal information to and from our Services is at your own risk, and you should only access the Services within a secure environment.
9. Where do we process your information?
AskYura LLC is based in the United States, and our Services are hosted in Singapore. Our service providers may process information in other countries. If you access the Services from a region whose laws governing personal data differ from those where we or our providers operate, your information may be transferred to and processed in those countries.
Singapore is our current hosting region. If it changes, we will update this notice.
10. Do we collect information from minors?
We do not knowingly collect data from or market to children under 18 years of age, nor do we knowingly sell such personal information. By using the Services, you represent that you are at least 18, or that you are the parent or guardian of such a minor and consent to their use of the Services. If we learn that personal information from users under 18 has been collected, we will deactivate the account and take reasonable measures to delete the data promptly. 11. What are your privacy rights?
You may review, change, or terminate your account at any time. If you would like to review or change the information in your account, or close your account, you can do so from within the dashboard or by contacting us at hello@askyura.com. On request to close your account, we will deactivate or delete your account and information from our active databases. We may retain some information to prevent fraud, troubleshoot problems, assist investigations, enforce our legal terms, or comply with legal requirements.
Withdrawing your consent. Where we rely on your consent to process your personal information, you have the right to withdraw it at any time by contacting us. Withdrawal does not affect the lawfulness of processing before the withdrawal, nor processing carried out on other lawful grounds.
Depending on where you live, you may also have the right to know whether we process your personal data, to access it, to correct inaccuracies, to request deletion, to obtain a copy of the data you shared with us, and not to be discriminated against for exercising these rights. These rights are not absolute and may be limited in some circumstances by applicable law.
To exercise any of these rights, email us at hello@askyura.com. We will need to verify your identity before acting on a request, and we will only use the information you provide for that verification. If we decline to act on your request, we will tell you in writing and explain why.
12. Controls for do-not-track features
Most web browsers and some mobile operating systems include a Do-Not-Track ("DNT") feature you can activate to signal that you do not want your online browsing activity monitored. No uniform technology standard for recognising and implementing DNT signals has been finalised, so we do not currently respond to DNT browser signals or any other mechanism that automatically communicates a choice not to be tracked. If a standard is adopted that we must follow, we will update this Privacy Notice accordingly.

We may also collect other personal information outside these categories when you interact with us in person, online, by phone, or by mail, for example when you receive help through our support channels, take part in a customer survey, or contact us with an enquiry.
We retain the collected personal information for as long as you have an account with us, subject to section 7 above. We do not sell or share personal information, and we have not done so in the preceding twelve months. We may use your personal information for our own internal research and technological development, which is not considered selling.
14. Do we make updates to this notice?
We may update this Privacy Notice from time to time. The updated version will be indicated by a revised date at the top of this page. If we make material changes, we may notify you either by prominently posting a notice or by contacting you directly. We encourage you to review this Privacy Notice regularly.

16. How can you review, update, or delete the data we collect from you?
Depending on the applicable laws of your country or state of residence, you may have the right to request access to the personal information we collect from you, details about how we have processed it, correction of inaccuracies, or deletion of your personal information.
